Send a proposal, get paid when the client says yes

Qoren proposals now take payment: your client accepts on a link and pays by card through your own Stripe, with monthly billing that runs itself and no cut.

The hardest part of closing a client is often what happens after they say yes. You send the first invoice, wait for it to clear, set up the monthly retainer in a billing tool, and chase the invoices that come in late. From today, a Qoren proposal handles that step. Your client accepts on the proposal's link and pays by card in the same moment, through your own Stripe account, and Stripe charges their card each month for the rest of the engagement. Qoren takes no cut.

Send a proposal, get paid when the client says yes. Here is what that means for an agency, step by step.

What changes for your agency

  • You are paid when the client accepts. The client accepts on the link, clicks Accept and pay and goes straight to a Stripe payment page. There is no first invoice to send.
  • Monthly billing runs itself. Stripe charges the client's card each month until the engagement's term ends. You do not set up a subscription by hand.
  • You hear about every step. Your team gets an email when the client accepts, when their first payment goes through, when a charge fails and when monthly billing ends.
  • The money is yours. Clients pay into your own Stripe account, Stripe pays out to you on its usual schedule, and Qoren takes nothing from the payment.

How it works

1. Build the proposal from your real costs

The proposal builder, in the console under My Company, prices each agent from Qoren's live platform costs, and your target margin sets the client price. On top of that you can add setup fees, optional add-ons with a one-time price, a monthly price or both, a monthly discount, and a paid upfront offer: a discount for paying a number of months in one go, on the monthly fee, the setup fee or both, each with its own percentage. You decide whether the setup discount also covers the one-time fees of the add-ons the client ticks.

Your cost, profit and margin stay on your side of the screen. With payment switched on, Stripe's fees join them as a cost, on the setup fee, on each monthly charge and on an upfront payment, so the profit you see is the profit you keep. They start at Stripe's standard card rates for the proposal's currency, and you can change them, for example for a client paying with a card from another country. The client never sees any of it.

If this is your first proposal in Qoren, the post that introduced Proposals explains how the pricing works with Clients and cost per client.

2. Connect your Stripe account

Open a proposal, click the Client link tab and, under Payment, click Connect Stripe. You sign in to the Stripe account you already have, or create one. The account owner does this once, and that Stripe account then serves every proposal. Then, on the proposal's Pricing tab, switch on Collect payment through Stripe for each proposal the client should pay on the link.

Click Create client link and send the link the way you normally would. Your client opens it without an account and sees the proposal as you shared it, with your prices and nothing internal. On the link they can:

  • Tick optional add-ons, and watch their price update at once.
  • Request changes. Your team is emailed, and the request shows on the proposal until you mark it handled.
  • Accept, then pay by card on a Stripe payment page.

If you change the proposal after sending it, the client keeps seeing the version you shared until you send them the current one. The client links release covers the link itself in more detail.

4. The client accepts and pays

The client types their name, keeps or changes their add-ons, and chooses how to pay:

  • Monthly. The first charge is the setup fee and any one-time add-on prices plus the first month. Stripe then charges the same card each month until the engagement's term ends. For a month-to-month engagement, it keeps charging until the subscription is cancelled.
  • Upfront, when your proposal offers it. One payment covers the prepaid months at your discount, plus the setup fee and any one-time add-on prices when the offer does not include them. If the prepaid months are fewer than the term, or the engagement is month to month, the client is told before they accept that their card will then be charged the monthly fee, and Stripe does so on the card they paid with.

A client who closes the payment page halfway can come back to the link and click Continue to payment.

5. Follow the payment from the proposal

The Payment section of the Client link tab shows where things stand: waiting for the client, paid, billing monthly, a failed charge, or ended. It shows what the client has paid so far, the fees Stripe actually kept, and Open in Stripe, which takes you to the customer in your Stripe dashboard. The emails mean you do not have to keep checking.

Where the money goes

Your client pays your business, not Qoren. The charge is made on your own Stripe account, and Stripe pays it out to you on your normal payout schedule. Qoren takes no cut of it. Stripe's processing fees are yours, as they would be for any card payment you take, which is why the builder counts them in your margin before you send the price.

What it does not do

We would rather you hear the limits here than from a client:

  • A price quoted as a range cannot be paid by card. When you estimate model spend as a range, the proposal quotes a range, and a card is charged one amount. That client accepts without paying, and you settle the price with them.
  • Refunds, receipts and tax stay in Stripe. You handle them in your Stripe dashboard, as you do today.
  • No invoices or signatures. Qoren does not send invoices or collect signatures. An acceptance on the link is recorded with the client's name and what they chose.
  • USD and EUR. Proposals, and payment on them, are in US dollars or euros.
  • Disconnecting Stripe stops clients paying on their links, but subscriptions already running keep charging in your Stripe.

Common questions

Does my client need a Qoren account?

No. The client link opens without an account, and the payment page is Stripe's.

Can I use the Stripe account I already have?

Yes. Connect Stripe lets you sign in to an existing Stripe account or create a new one.

Can a client accept without paying?

Yes. The acceptance is recorded before the payment page opens, so a client who leaves that page has accepted without paying yet: the Payment section shows the payment as waiting, and their link offers Continue to payment. The link takes no payment at all when Collect payment through Stripe is off for that proposal, your Stripe account is not connected or cannot take charges yet, or the price is a range. The client is then told you will be in touch about payment.
